Terms & Conditions

1. Scope of Services
TOWAKA – Japan DMC (operated by Yamatogokoro Inc.) provides travel planning, coordination, and destination management services exclusively for travel professionals.
Each proposal is developed individually and outlines the specific services, inclusions, and conditions applicable to that project.
Services are confirmed only upon written agreement.
2. Proposal Validity & Confirmation
Proposals are valid for the period specified in the quotation.
Services are considered confirmed only upon:
- –Written confirmation by the client
- –Receipt of the agreed deposit (if applicable)
Availability and pricing are subject to change until confirmation.
3. Payments
Payment terms are specified in each proposal and may include:
- –Deposit upon confirmation
- –Interim payment(s)
- –Final balance prior to arrival
All payments must be made in the currency stated in the invoice.
Late payments may result in suspension of services.
4. Pricing
All pricing is provided in good faith based on supplier rates and operational costs at the time of quotation.
In the event of:
- –Significant currency fluctuation
- –Government-imposed taxes or fee changes
- –Supplier-imposed adjustments beyond our control
TOWAKA reserves the right to revise pricing prior to final confirmation. After confirmation, pricing adjustments will only occur if mandated by external factors beyond reasonable control.
5. Changes to Confirmed Bookings
Any requested changes after confirmation are subject to:
- –Supplier availability
- –Additional costs
- –Administrative handling time
TOWAKA will advise of any financial implications before proceeding.
6. Cancellation Policy
Cancellation terms vary depending on supplier conditions and seasonality. Specific cancellation deadlines and penalties will be outlined in each project confirmation.
In general:
- –Deposits may be non-refundable
- –Cancellation fees increase closer to arrival
- –Supplier-imposed penalties apply
All cancellation conditions are communicated transparently at confirmation stage.
7. Force Majeure
TOWAKA shall not be held liable for failure or delay in performance resulting from circumstances beyond reasonable control, including but not limited to:
- –Natural disasters
- –Government restrictions
- –Public health emergencies
- –Transportation disruption
- –Civil unrest
In such cases, we will make reasonable efforts to mitigate impact and seek equitable solutions in cooperation with clients and suppliers.
8. Liability
TOWAKA acts as a DMC coordinating third-party services. While we select partners carefully and operate with due professional diligence, we are not liable for:
- –Acts or omissions of third-party suppliers
- –Loss, injury, delay, or damage caused by events beyond reasonable control
Our liability, where applicable, is limited to the amount paid for the specific service in question. Nothing in these Terms excludes liability where such exclusion is prohibited by law.
9. Insurance
Clients are responsible for ensuring that their travelers hold appropriate travel insurance covering:
- –Medical expenses
- –Cancellation
- –Personal liability
- –Loss of belongings
TOWAKA does not provide travel insurance unless explicitly stated.
10. Sustainability & Responsible Conduct
TOWAKA operates in alignment with Travelife Partner standards and principles of responsible tourism.
We expect travelers and partners to respect:
- –Local laws and customs
- –Cultural heritage
- –Environmental considerations
Sustainability standards are embedded in supplier selection and operational decisions.
11. Data Protection
Personal data is processed in accordance with our Privacy Policy.
We maintain structured confidentiality and data-handling procedures aligned with international standards.
12. Governing Law
These Terms & Conditions are governed by the laws of Japan.
Any disputes shall be subject to the jurisdiction of the Tokyo District Court, unless otherwise mutually agreed in writing.
